Registered Vendors
Registered vendors are the service partners responsible for the execution of the exhibition and conclave. Every vendor associated with IMEC — whether appointed by a sponsor, an exhibitor or the organisers — must be registered with International Expo Mines Services and must sign the IEMS Vendor Contract, Vendor Master Sheet, Operational Checklist and Payment Documents before commencing any work at the venue.
This ensures that fabrication, power, branding, logistics, hospitality and on-site services are delivered to the standards expected of an international industry platform.

Vendor Contract
The IEMS Vendor Contract governs the working relationship between the event management company and every vendor engaged for IMEC. It covers quotations and costing, mandatory testing, approvals for additional requirements, venue verification, coordination between vendors, professional conduct, punctuality, branding permissions, deployment of trained manpower, technical drawings, documentation and the signatures required from the Project Manager and Operation Manager.
Vendors are required to review and sign the contract before the event and to maintain all related documents for verification by the concerned authorities.

The Sponsors & Exhibitors Manual is the official operating document for participation at IMEC. It sets out payment timelines, stall allocation conditions, mandatory vendor documentation, approvals for heavy machinery and power installations, digital payment requirements, operational checklists, fabrication restrictions, safety and security obligations, food and entry pass procedures, production working hours, venue protection rules and the terms under which participation is granted.
All sponsors, exhibitors and their vendors are required to comply with the manual in full. Violation of the terms may result in withdrawal of access to the event and expo area.
